And topics such as the climate, carbon reduction, and circular and sustainable business operations remain hot topics, of course. With the Climate Agreement, we all still have to ensure that greenhouse gas emissions are halved by 2030 compared to 1990. A challenging task to which we can all do our bit.

What does this mean for the organisation of your next trip or event? We have all experienced by now that some meetings can also take place digitally just fine, but in a digital world, personal contact is becoming increasingly important. And surely you want to continue meeting your business relations? (Look here for our tips on the new business meeting 2.0)

Fortunately, there are plenty of opportunities to organise your event as sustainably as possible, both at home and abroad. We are happy to brainstorm with you and, if desired, develop a complete concept that aligns with your CSR guidelines and / or SDG goals.

Here are 6 tips to help you with the organisation of your sustainable incentive trip or event.

Hotel or event location

Are you organising your event at an external venue? Then check whether the venue has a Green Key certificate. If you want to go a step further, you can also opt for a venue that operates in a fully circular manner.

We can also have a calculation made for you of the complete carbon footprint of your event and compensate for this. By choosing carbon offsetting, you actively contribute to the realisation of the Sustainable Development Goals (SDGs). We do this by investing in one of the climate projects of Anthesis.

2. Transport

At the moment, travelling by public transport is not being encouraged, but as soon as this is safe again you can ask your guests to make as much use as possible of the bus, train, tram or metro. Especially in the centre of large cities, parking is often expensive, a nightmare or takes a large chunk out of your budget. This also prevents your guests from getting stuck in traffic jams. How do they still get to your event location if it is not centrally located? For example, by deploying an electric shuttle bus from a nearby station to transport your guests, or with a quirky means of transport that suits your event and the atmosphere of the day or evening. (Such as a tuk-tuk during a team-building day or carriages for a gala etc.)

Are you going abroad? Consider travelling by train. Many destinations in Europe are easily accessible by train. Furthermore, this form of travel is very relaxing. You do not need to arrive hours in advance and often step out right in the middle of the city!

Carsharing can also be an option; you can encourage this by facilitating it properly with, for example, a carpool app. This way, networking begins on the way to your event or to the airport. The first connections can already be made!

Still flying? Then offset your CO2 emissions. At goMICE, for example, we do this via GreenSeat by Anthesis, so that you fly climate-neutral. In this way, you offset the pollution caused by your journey!

3. Catering

The greatest costs and pollution often lie in catering. A number of simple solutions already ensure environmental savings and are good for the inner person.

Local catering

Check carefully whether your caterer uses suppliers from the immediate vicinity of your event. If they can make their purchases from the local baker, greengrocer and butcher, less transport is needed, and the local business owner also benefits instead of the wholesaler.

Seasonal products

Ask if the caterer is willing to use seasonal produce. These are fresh, good for the soul and often don't have to travel far. And not unimportantly, fresh tastes amazing!

Vegan

Not everyone is keen on the “vegan” label. Some guests simply want a classic bitterbal with their drinks (no, not a beetroot bitterbal) or a meal with meat or fish. But vegan is becoming more fun, better, tastier and more varied. Consider making a portion of your catering vegan. That way, everyone has a choice and your guests are also introduced to an alternative that is good for people, animals and the environment.

Use of local suppliers

Working with regular suppliers can have advantages in terms of purchasing or negotiation. But why have five trucks drive goods 80 kilometres when they are also available just 5 kilometres away? Naturally, professionalism, reliability and creativity are very important when choosing a supplier. So look further afield, and specifically closer to home! You might just be surprised!

4. No show

You have sent your invitations on time and everyone has registered nicely: time to pass on the numbers. Always allow for a percentage of no-shows. People may fall ill, be busy with work or, due to heavy traffic, choose to arrive later or not come at all. This way you will also have less food waste. In consultation with the caterer, a creative or socially responsible solution can always be devised for this too.

Depending on the type of meeting, you can also state in the invitation that a fee will be charged for a no-show. This prevents guests from “registering and seeing how it goes”. You can state that this will be donated to a charity that fits your CSR guidelines to compensate for emissions or waste, offsetting your guest's unnecessary pollution.

5. Online vs. offline

In our business and personal lives, digital communication is increasingly becoming the norm. Online is often also cheaper, faster and more modern. Yet, to create genuine attention value, it is often just that little bit more effective to send a special offline invitation or token of appreciation. Here too, there are plenty of options for attractive sustainable means and a legion of suppliers who purchase, produce and operate sustainably.

6. Digital processes

Still digitalYou can, of course, send your save-the-date or invitation digitally. In addition, you can use goMICE's apps and digital tools surprise, activate and stimulate your target audiences on the way to your LIVE moment. Your registration, programme and the sharing of photos can also be done easily, clearly and in the style of your brand or meeting.

To engage and enthuse your target audience sustainably in advance!

We understand that you want to make as much impact with your event on your invitees as possible. Therefore, start now with enthusing, informing and engaging your target audience with a sustainable lead-up trajectory through our Stretch-method. We are creating a ‘green’ communication pathway, for instance by deploying our Digital tools and eco-friendly gifts. In this way, your organisation or message stays top of mind with your target audience for longer and we ensure even more impact!

We believe in organising sustainable and impactful gatherings! Giving careful thought to the use of all communication tools and suppliers that suit the process is an important part of this. Going completely green, sustainable or circular all at once might be a utopia. But with small adjustments and taking a new step every time, you too can make your gatherings even more sustainable! And remember; lead by example!

Would you like advice on organising a sustainable journey?
