Case: International Online Partner Event

Organising a last-minute international online partner event

At the end of January, we received a promising request from a publicly traded international company with the following question:

“How can we bring our key partners together in a professional manner during these times, whilst creating the feeling of a live event?”

The online partner event became a reality and had to take place just under two weeks later. A beautiful and fun challenge for the goMICE team!

International VIP Partner Event

The online event was organised for a select group: the most important C-level contacts from their international partners. Various objectives were quantified in advance:

  • Exclusive and open atmosphere
  • High quality with a professional look and feel
  • Open discussion opportunities
  • Strengthening mutual bonds
  • Energetic and positive feeling

Live from the studio

Following a brainstorm session with the goMICE team, we quickly envisioned how this event should look: LIVE from a recording studio in the Netherlands. International speakers and partners would be integrated via a platform onto the screens in this studio. This way, speaker streams could be well-interspersed with multimedia presentations, and partners could be integrated into the open discussion via a “spotlight”. Furthermore, by displaying partners simultaneously as much as possible, they felt actively involved and connected with each other (despite the actual physical distances of their locations in, among other places, the United States, Scandinavia, and the Netherlands).

Technique

As I wrote earlier in this blog Is the use of the right technology the most important part of a successful online event! The entire event stands or falls with it and is the basis of the complete online event production. goMICE only works with the best AV partners, which is why we used the recording studio of one of our regular suppliers for this event. In this way, we can always guarantee the right quality.

The retention of attention

To keep participants engaged during an online event, it's important to continue stimulating them. By adding specially pre-produced videos and a fantastic live music act, the programme was playfully interrupted at various moments and successfully concluded.

Objectives achieved!

Following the event, an evaluation among the partners revealed that they had experienced it as very positive and valuable. They indicated that due to the personal approach, refreshing breaks, and professional design, they genuinely experienced a VIP event where their relationships were strengthened. Our client was also very enthusiastic about the collaboration with goMICE!
